What Does a Remote Office Assistant Do?
As a Remote Office Assistant at MGM HOA Management, you are responsible for supporting the daily administrative and communication tasks that keep our operations running smoothly. Your role ensures that homeowners, board members, and internal staff receive timely, accurate, and professional service. By staying organized, responsive, and detail-oriented, you help maintain the high standards of efficiency and support that MGM is known for.
Pre-Task Preparation
Before starting on daily assignments, you will:
- Review the task list, team communications, and internal project updates.
- Prioritize urgent homeowner requests, board needs, or internal deliverables.
- Confirm meeting schedules or deadlines with the Account Manager or assigned team lead.
- Prepare any digital tools or files needed for efficient workflow, such as forms, templates, or access to platforms.
Daily Responsibilities
Throughout the day, you will:
- Respond to emails and assist with homeowner and vendor communication.
- Update HOA documents, records, and databases based on team input or incoming requests.
- Assist with processing ACC requests, violations, or financial documentation.
- Draft notices, newsletters, or meeting summaries for board and homeowner communication.
- Support team members with clerical tasks like scheduling, document formatting, and follow-up tracking.
Post-Task Responsibilities
At the end of the workday or upon completing tasks, you will:
- Log your completed work in MGM’s internal systems for accountability and tracking.
- Flag any unresolved issues or items that require follow-up by another team member.
- Communicate with the Account Manager or supervisor to provide updates or request clarification.
- Suggest process improvements or note recurring issues that could benefit from system changes.
Job Details
Remote Office Assistant – Contractor Position
Job Type
This is a part-time, 1099 contractor position. As a remote team member, you will work from home using your own computer and internet connection. Reliable internet access and the ability to work independently are essential.
Work Hours
Most tasks can be completed on a flexible schedule, but availability during core business hours (9 AM – 4 PM, Monday–Friday) is preferred for communication and time-sensitive work. Average weekly workload is 10–20 hours, depending on your availability and project flow.
Location
This role is fully remote. However, we are currently hiring applicants based in Idaho to align with our internal teams and time zones.
Experience and Skills
Must-Have:
- Strong written communication skills
- Excellent attention to detail and organization
- Comfortable using Google Workspace (Docs, Sheets, Gmail)
- Able to follow structured processes and meet deadlines
- Reliable computer and internet access
Nice-to-Have (but we can train):
- Experience working with HOAs, property management, or customer service
- Familiarity with CRMs or project management tools like ClickUp or Trello
- Previous remote or freelance experience
- Basic knowledge of HOA documents like CC&Rs or budgets
